Every Vilora Impex shipment follows the same seven-stage process — from the buyer's first inquiry to port-of-arrival sign-off. One accountable export desk, one signature on the documentation packet, one direct line until the buyer confirms arrival. This is what happens between PI and BL.
The buyer sends a brief: variety, form (Sella/Steam/Raw), grade, packaging, quantity, destination port, target arrival date. Same day in our timezone we respond with an indicative FOB price, lead time and a list of any additional information needed (Halal, COO preferential vs non-preferential, payment terms). For new buyers we share our credentials packet — FSSAI, APEDA, IEC, GSTIN, founder bio — alongside the quote.
Once the indicative spec aligns, a 250–500 g sortex-cleaned sample is couriered to the buyer's office with a signed cuttest sheet. The buyer cooks the sample, measures cooked grain length, validates aroma, and approves or rejects in writing. The signed cuttest becomes the locking spec on the PI.
The PI locks the deal: variety, form, grade, packaging, quantity, FOB/CIF price, Incoterm, port of loading, port of discharge, payment terms, lead time, documentation packet contents. Once signed, sourcing begins. Payment terms are 30%+70% against BL scan for repeat buyers, or 100% advance / irrevocable L/C at sight for new buyers.
Aggregation begins at the relevant milling partner — Punjab/Haryana for 1121/1509, Andhra Pradesh for Sona Masuri/IR64, Kerala for black pepper, Gujarat for cumin/fennel. Each lot is hand-graded against the locked cuttest, sortex-cleaned in two passes, lab-tested, photographed, weighed and tagged with a lot ID that travels with the documentation.
Packing happens in 5/10/25/50 kg PP, BOPP-printed laminate, jute or buyer-branded private label. For private-label SKUs, plate-making and first printed pouch sample run in parallel. Buyer approves the printed pack sample before full FCL production.
Stuffing at Mundra or Kandla under our supervision. Container sealed with numbered lock; seal number recorded on BL. Documentation packet — phytosanitary, FSSAI, APEDA, COO, BL, lab COA, sortex pass log, photographic evidence — is prepared and couriered within 48 hours of sail.
Live container tracking shared with the buyer (steamer line portal link). Daily position updates if requested. On arrival, buyer draws a sample, validates against original cuttest, signs off, and clears customs. We stay on the line until the buyer confirms — that's where the relationship ends, not at port-of-loading.
